Department: Iraq Country Directorate
Reports To: Plant Manager
Location: DUHOK
 
Job Summary
 
We are looking for a Financial and Administrative Affairs Specialist who will be responsible for overseeing financial operations, administrative services, facility management, and compliance processes within our Iraq operations.
 
The role requires strong coordination skills, financial follow-up capabilities, and the ability to manage multiple service functions to ensure smooth and efficient daily operations.
 
 
Key Responsibilities
•Monitor and control outsourced service providers and ensure contractual obligations are fulfilled.
•Ensure continuous availability of cleaning, stationery, and consumable supplies.
•Manage employee entry and exit procedures in compliance with regulations.
•Maintain and record petty cash transactions accurately in the system.
•Track and process financial invoices and ensure proper system entry.
•Prepare weekly payment plans, follow up on payments, and execute due cash payments.
•Conduct unit cost analysis and support cost control activities.
•Follow up on fuel and water supply procurement and related financial tracking.
•Ensure compliance with occupational health and safety regulations and report training needs.
•Oversee procurement and distribution of workwear and personal protective equipment (PPE).
•Improve physical working conditions by evaluating and implementing feedback.
•Organize accommodation, transportation, and logistics for company visitors.
•Ensure proper waste management and disposal processes.
•Take preventive measures against work and vehicle accidents; maintain accident records and coordinate emergency actions.
•Provide daily reporting to the Operations Manager regarding ongoing activities.
•Actively participate in Lean transformation initiatives (5S, teamwork, continuous improvement).
•Maintain order, cleanliness, and organization within responsible areas.
 
 
Integrated Management Systems Responsibilities
•Contribute to achieving company objectives in line with vision, strategy, and policies.
•Support customer satisfaction and continuous improvement initiatives.
•Participate in internal audits, management review meetings, and corrective actions.
•Identify risks and opportunities within responsible processes.
•Ensure compliance with occupational safety, environmental, sustainability, and Zero Waste principles.
•Act in accordance with Information Security and Data Protection (KVKK) policies.
•Maintain confidentiality, integrity, and availability of information in all communication channels.
 
 

Qualifications & requirements

 
 
Qualifications
•Bachelor’s Degree (University graduate).
•Minimum 5 years of professional experience (at least 4 year in Administrative Affairs).
•Good command of English. Turksih is a plus.
•Valid Class B Driving License.
•Proficiency in MS Office applications.
